MINERAÇÃO DE PROCESSOS: UMA ANÁLISE DO IMPACTO ANTES E DEPOIS DA PANDEMIA NOS PROCESSOS ADMINISTRATIVOS, SOB A PERSPECTIVA ORGANIZACIONAL

Abstract

The COVID-19 pandemic has affected many processes and business models in the last years. In this period, organizations had to adapt to the new format of working from home. Process mining (PM) is an area that links business processes and data mining where it extracts knowledge from logs of real events recorded in information systems. This research makes a bibliometric study on PM and analyzes the administrative processes in the period before and after the pandemic of a public educational institution in Brazil. PM techniques are applied from an organizational perspective to understand how the aforementioned set of conventional processes recorded on paper was executed during the pandemic. This work shows that there were changes in the processes and that there was a simplification in most administrative processes, not only due to the significant drop of around 50% in the volume of events, but also in the restructuring of the departments. It was found in the mined data several indications of a reduction in the duration of time and in the transfer of work between departments and, also, that several central departments were modified between the pandemic periods. The results show that the processes demanded are basically the same, however, there are concrete indicators that workers implemented a new process structure during the pandemic, which showed greater efficiency. This analysis is expected to be a starting point for discussions where it can be indicated whether the “new normal” imposed by COVID-19 has become the rule or were just mechanisms adopted at the time restrictive measures were applied worldwide. And consequently, contribute to new strategies of the board of this institution and in the evolution of its administrative processes.

A pandemia do COVID-19 afetou muitos processos e modelos de negócios nos últimos anos. Neste período, as organizações tiveram que se adaptar ao novo formato de trabalho em casa. A mineração de processo (MP) é uma área que liga os processos de negócios e a mineração de dados onde extrai conhecimento de registros de eventos reais registrados em sistemas de informação. Esta pesquisa faz um estudo bibliométrico sobre MP e analisa os processos administrativos no período antes e depois da pandemia de uma instituição pública de ensino no Brasil. Aplicam-se técnicas de MP sob a perspectiva organizacional para entender como o referido conjunto de processos convencionais registrados em papel foi executado durante a pandemia. Este trabalho mostra que houve mudanças nos processos e que ocorreu uma simplificação na maioria dos processos administrativos, não apenas pela queda significativa em torno de 50% do volume dos eventos, mas na reestruturação dos departamentos. Encontrou-se nos dados minerados vários indícios de redução na duração do tempo e na transferência de trabalho entre departamentos e, também, que vários departamentos centrais foram modificados entre os períodos pandêmicos. Os resultados apresentam que os processos demandados são basicamente os mesmos, porém, há indicadores concretos de que os trabalhadores implementaram uma nova estrutura de processos durante a pandemia o que mostrou maior eficiência. Prevê-se que essa análise seja um ponto de partida para discussões onde pode-se indicar se o “novo normal” imposto pela COVID19 se tornou a regra ou foram apenas mecanismos adotados no momento em que foram aplicadas medidas restritivas mundialmente. E consequentemente, contribuir para novas estratégias da diretoria desta instituição e na evolução de seus processos administrativos.
